Audited courses and repeats
A student is auditing a course that they have previously taken and received a satisfactory grade for AND that previously taken course is being marked as "repeated". There may be instances where you may not want this to show on the transcript this way. When a student audits a course and it is not to be counted as a repeated course do the following: Go to STAC and detail to SACD for the course/section being audited. In the "Replace Allowed" field change the YES to a NO. This will recalculate the student's academic credit and remove the repeated designation.

How do I enroll waitlisted students from one section into a brand new section?
Course Waitlist Alternatives (CWLA) Form Use the Course Waitlist Alternatives (CWLA) form to view all sections of a course within a term, and then enroll waitlisted students in an alternate section. Only active waitlisted students are shown. You would use this option when A&R opens a brand new section and wants to move all the students from the waitlist of one section into the brand new section. Procedure for Viewing Sections of a Course and Enrolling Students in Waitlisted or Alternate Section 1. At the Course LookUp, enter a course for which you want view all sections. 2. At the Term Lookup, enter the term to use for the course. a. Only sections of the course in this term will be displayed. In the group at the top of the form, the sections of the course display, with the sections’ number, status, capacity, available seats, waitlist count, and location. 3. In the Enroll Section field, enter the section in which to enroll the student and tab or enter on your keyboard. (This would be the brand new section number). 4. A search results screen will appear, showing the sections to select from, select the appropriate section and enter. 5. If you enter a section in the field, you are automatically detailed to the Registration (RGN) form. When you register the student on the RGN form and save, you are returned to CWLA. The registration is permanent upon SAVE! Warning! If you do not want to save your changes on the RGN form, cancel from the form. After you save on the RGN form, you cannot reverse your changes by canceling from CWLA. If a student is enrolled, a notice of registration is sent to the student.

Certificate not showing on official transcript
Why do certificates coded as "C0" (less than 18 units) not show on the official transcript? It was determined by Admission and Records in 2010 that certificates less than 18 units should not be printed on the official transcript.

Cross listed waitlists Add / Drop
For cross listed sections the waitlist applies only to each section individually. So if the global limit is reached, no students can register. But if a student drops a section and there is not a waitlist on that section, another student can add that section; even if there is a waitlist on a different section. To prevent this from happening, each section would have to be changed to "closed"

Mac Name Issue in Colleague (Auto Capitalizing)
There is a rule written to auto capitalize the first letter after certain naming conventions, i.e MacEnroe - the E being where the instance of the auto capitalization is happening. In the instance below, when a staff person tries to fix the spelling of this first name, it will not "stick". To make it stick you must first type the = sign into the field and then retype the name, in this instance it would be this: =Macey Save and update and it will "stick".

Repeated Course Not Showing on Transcripts Correctly
Issue: A repeated course taken during a subsequent term/semester doesn't reflect it was repeated. Solution: This is fixed by going to STAC, entering the student ID#, detail into the class in question then select STRP. Then enter "..." to bring up a list of courses and detail into the empty field and select the passing grade. Then save out, go back into STRP, it should now show a replace Code of R (Replaced by Colleague). You can run the transcript to verify that the first course is showing "R" for repeat as shown below:
